Office Coordinator Position Description

Title:             Office Coordinator

Reports to:   Administrative Director

Pay:                $20 per hour, as 1099 Independent Contractor

Benefits:       None

Hours:          10 -15 hours per week, primarily flexible schedule but with some set hours in our Cleveland Heights office two days a week. Required occasional evening work for events.

POSITION OVERVIEW

The Office Coordinator provides administrative and clerical support for the Cleveland Psychoanalytic Center (CPC). The person in this role performs a range of functions and tasks to support the organization including working with members and coordinating activities taking place at the Center.

No one candidate will fit all the requirements so everyone who fits at least some of the skills and has a willingness to learn is encouraged to apply.

POSITION REQUIREMENTS

  • Significant experience in office management (or similar position) and proven success in self-directed work and time management. 

  • Strong skills and experience in Microsoft Office Suite, Zoom, Canva, and Squarespace

  • Comfort with technology and willingness to learn new platforms

  • Detail-oriented with an enthusiastic customer service mindset

  • Flexible and collaborative approach, able to maintain confidential and sensitive information, and the ability to work with a diverse group of people with varying abilities and approaches to situations
     

POSITION EXPECTATIONS

Support at the Center

  • Provide welcome and support to people who come to the Center including greeting members, visitors, and vendors

  • Process incoming mail

  • Submit monthly copier use numbers

  • Make bank deposits

Special Events

  • Create attendance sheets and track for in person events.

  • Be present at all in person events to welcome and provide technology support

  • Assist Program Committee to manage catering, room setup, and hotel accommodations as needed.   

Library

  • Assist patrons in finding and checking out library materials

  • Manage library system by adding new materials as needed

Member and Training Program Support

  • Answer member emails

  • Create and send Zoom links

  • Maintain Squarespace website

 Other duties as assigned
